The Vietnam Program requires two phases of Post-Placement reporting:

  1. Upon arrival home – three detailed post-placement reports prepared by you, the social worker, which are to be completed at one, three, and six months after the child comes home. These reports must be accompanied by at least 5-7 photos of the child.
  2. Biannually – One year after arrival and then biannually after that, parents are asked to submit a Bi-annual Self Report. This includes the child’s development/activities and 5-10 photos of their child for up to three years after placement. This self report is uploaded by the family.

Post-Placement Reports

Holt requires a one month, three month, and six month reports. These reports are highly valued by the Vietnamese officials. The same officials approving new international placements look for our agency’s efficiency in providing thorough, timely reports on children who have gone home in prior years.


Photo Requirements

Families are required to submit 5-7 photographs with all of their progress reports. Holt cannot forward reports to Vietnam without these photos. Remind families to please upload their required photos on Holt’s Post Placement Report webpage.

Please refer families to the following information while they prepare post-placement report photos:

  • Please choose pictures that highlight their child and family enjoying his/her company. If there are other children at home, include a picture of them with the whole family. We suggest that the photos show the child happy and warmly dressed (especially if the environment looks cold).
  • Please avoid photographs showing the child in close contact with large pets, partially dressed, and with food on their face. Since these reports and pictures will be going to Vietnamese government officials, we need to remain culturally sensitive.
  • It is important that these photos are clear and large enough to identify the child (it is important the photo is not pixelated).
  • Each photograph needs to include a caption.

Biannual Report Updates

  • In addition to the one, three and six month post-placement reports, Vietnam law requires that all adoptive families send a short report and recent photos biannually for three continuous years after placement. The Commitment forms families signed in Vietnam state this requirement. In addition to being required as part of their adoption, these reports help reassure Vietnamese government officials that Vietnamese children placed in American families continue to do well. And this encourages government officials to continue their support of international adoption.
  • Families can submit these reports online via the Holt website. Once they have answered the questions about their child’s development, and uploaded 5-10 photos, this report will be sent overseas to fulfill the report requirements.
  • Holt Eugene will send a biannual reminder to families.

Other Reports

Other reports may be required in your state of residence. Your agency will have information about any requirements for your state.
