Post Adoption Report compliance has a significant impact on international adoption in each of the countries we partner with. It is very important to the officials overseas to know that children placed with families in the U.S. are well cared for and loved, and that families are receiving appropriate support.
Completed Post Adoption Reports are mailed to ICBF (the Colombian Central Authority). If your report/photos will be delayed, please notify us so we can provide this information to the country.
After your child’s arrival in the U.S., each report needs to be completed according to the timeline outlined below. If additional reports are required by your state, please send those to us as well.
Post Reporting Timeline
The due date of the report is the day the report is due in country. Reports must be notarized and apostilled after Holt receives them, therefore Holt needs the finalized report at least 2 – 3 weeks prior to the due date to allow time for the apostille. Social worker visits should occur 1-2 months prior due date (with the exception of the first report). Due date is based off the day the adoption decree is signed.
- 1 month Post Adoption Report (social worker completed, notarized and apostilled) with 16 photos provided by the family.
- 6 month Post Adoption Report (social worker completed, notarized and apostilled) with 16 photos provided by the family.
- 12 month Post Adoption Report (social worker completed, notarized and apostilled) with 16 photos provided by the family.
- 18 month Post Adoption Report (social worker completed, notarized and apostilled) with 16 photos provided by the family.
- 24 month Post Adoption Report (social worker completed, notarized and apostilled) with 16 photos provided by the family.
- 30 month and 36 month reports required if a family adopts a child age 8 or older at time of finalization in Colombia, or a sibling group of any age.
⚠️ Important: All Post Adoption Reports must be notarized and apostilled.
Required Documents After Arrival and Finalization
After your child’s arrival in the U.S. and finalization, please send copies of the documents listed below:
- U.S. Adoption Decree: Issued after finalization and required to be sent overseas.
- Foreign Passport/US Visa Page: Provided to you overseas. We just need a scan of the photo/info page and U.S. visa page.
- Overseas Documents: We will need scanned color copies of all the documents that your family received overseas, such as the Guardianship documents, Colombia Birth Certificate or any other legal/medical documents.
Our Post Adoption Services department has received thousands of inquiries from adoptive parents and adult adoptees requesting copies of their file. You are welcome to submit documents for Holt to keep in your child’s case file. Most families have found this to be a very helpful and safe/confidential way to keep a backup record available in case of document loss, theft, fire, etc. If you would like to provide these documents at any point, feel free to email them to us.
Optional Documents for Case File
- New State Birth Certificate: In most states, this document is only available after your child’s adoption is re-finalized or finalized in your local court.
- Certificate of Citizenship: This is necessary for proving your child’s citizenship and will be needed to obtain other documentation.
- U.S. Passport: It is optional if you want us to add this to the case file. Apply if you plan to travel outside the U.S. with your child.
- Social Security Card: It is optional if you want to provide this document for your permanent case file.
